Recording of Classroom Sessions and Analytics
(15/09/2024)

As part of our ongoing commitment to ensuring a safe, secure, and high-quality learning environment, we record all classroom sessions and collect session analytics. These measures are in place to protect both tutors and students, and to continually improve the tutoring experience.

Purpose of Recording:

  • Safety and Security: Classroom recordings help monitor interactions, preventing inappropriate behavior and ensuring adherence to our community guidelines.
  • Quality Assurance: We review sessions to assess the quality of tutoring and ensure consistency in the services provided.
  • Dispute Resolution: In case of disputes or misunderstandings, the recordings serve as a reference point for clarification and fairness.

Classroom Analytics:

In addition to recording sessions, we also collect analytics data from each classroom session, which includes:

  • Attendance Tracking: Monitoring student participation and engagement during the sessions.
  • Performance Metrics: Tracking the progress of both students and tutors, including interaction times, lesson completion rates, and overall session engagement.
  • Behavioral Insights: Analyzing patterns such as time spent on different activities and overall class participation.

These analytics help us improve our service by identifying areas for better curriculum design and providing personalized recommendations to both students and tutors.

Use of a Hosted Classroom:

At times, we may use a third-party hosted classroom to facilitate online lessons. When this happens, some user data—such as name, user ID, and profile logo—may be shared with the classroom provider to ensure a smooth experience. Classroom recordings will be stored for a limited period and automatically deleted after 7 days, unless retention is required for safety, legal, or quality assurance reasons.

Access to Recordings and Analytics:

Only authorized personnel will have access to classroom recordings and analytics, both of which are stored securely in compliance with data protection regulations. They will not be shared with third parties without explicit consent, except where required by law.

Data Retention:

Classroom recordings and analytics data are stored for a limited period, after which they are securely deleted unless retention is required for safety, legal, or quality assurance reasons.

By participating in our classroom sessions, you consent to the recording of sessions and the collection of analytics for the purposes outlined above.

Third-Party Payment Recipients Policy

Purpose of This Clause
In certain situations, tutoring payments may be made to a third party (such as a relative of the tutor) on behalf of the tutor. This section outlines how we handle those situations in compliance with applicable laws and best practices.

1. Consent and Authorization

Where a third party (e.g. a cousin of the tutor) agrees to receive payment on behalf of the tutor, we require clear and written confirmation that the third party:

  • Understands the nature and purpose of the payment.
  • Agrees to receive the funds solely for the purpose of forwarding them to the named tutor.
  • Confirms they are not acting on behalf of any other party.

This confirmation must be submitted via a secure form and include:

  • A declaration of consent.
  • The full name of the tutor.
  • The full name of the third-party recipient.
  • The relationship between the two parties.

2. Proof of Identity

To prevent fraud and ensure accountability, we may request valid photo identification (e.g., a passport or government-issued ID) from the third-party recipient.
We will:

  • Collect such documentation via secure means (e.g., encrypted file upload or secure email).
  • Only use the documentation to verify the identity of the recipient.
  • Store it securely and limit access to authorized personnel only.

3. Anti-Money Laundering (AML) Awareness

Although tutoring services are not considered high-risk under most AML regulations, we are committed to transparency and due diligence.
To that end, we:

  • Require documentation and declarations for third-party payment arrangements.
  • Reserve the right to withhold payment or report suspicious activity where necessary.
  • May refuse payment transfers to a third party if the relationship cannot be verified or justified.

4. Data Protection & GDPR Compliance

We are committed to protecting all personal data in accordance with the UK GDPR, the Data Protection Act 2018, and relevant EU data protection laws.
This includes:

  • Collecting only data that is necessary for the purposes of verification and compliance.
  • Storing data securely using encrypted storage systems.
  • Deleting identity documentation and other sensitive data once it is no longer needed (Unless required for legal purposes).
  • Providing all users with access to their rights under GDPR, including the right to access, correct, or request deletion of their data.

5. Retention and Record-Keeping

We may retain a copy of the third-party’s consent declaration, along with any relevant identification or supporting materials, for the purpose of legal compliance and dispute resolution. These records will be stored securely and only accessed when necessary.
